Your business already has a voice. Your AI Brand Voice Profile is that voice, written down: one page, built from your own writing, for an AI assistant to read before it writes for you.

Build your profile

Start with one piece of your own business writing. Submit each prompt once, then check and correct the result yourself.

  1. Redact before you paste

    On paper, cross out customer names, financial figures, credentials, private strategy, and restricted information. Box phrases only your business would say. Describe the work, not the people. Finish this check before pasting any writing into your assistant.

  2. Ask AI to find the evidence

    Use the redacted sample. The observations are candidates for you to check against your original writing.

  3. AI proposed. You decide.

    Compare every observation with your original writing and mark it Keep, Rewrite, or Reject. Rewrite or reject at least one. If the scan is accurate, rewrite one observation to make it more specific and evidence-backed. Keep the accepted observations, your correction, and the exact phrases that support your choices. Name one phrase you actually use and one that never sounds like you.

  4. Turn checked evidence into one page

    Open “Show the template” below, copy it, and use it with your accepted and corrected evidence. After the assistant drafts the profile, correct the page by hand. Keep NEEDS OWNER INPUT wherever you still need to supply an answer.

Test and improve it

  1. Give your profile one real task

    Use one short task with every fact the assistant needs. Save this task and its facts so you can use them again after revising the profile. Compare the first output with your own writing and run all four checks. Record where the profile was unclear or forced a choice.

    What good looks like

    • Every fact is right and nothing was added.
    • At least one sentence only your business would say.
    • No unnecessary generic sentence that could have come from anyone.
    • Nothing from your avoid list.
  2. Check for recognition

    Redact before sharing with a partner, or compare privately with your original writing. Ask: Would you recognize this as your business, and why or why not? Which sentence could have come from anyone? Record one keep and one change.

  3. Revise the profile

    Use your notes to make one high-leverage revision to the profile by hand. Save the revised profile for the second run.

  4. Run the same task and facts again

    If your business workspace is ready, save the revised profile in its instructions, open a new conversation there, and give it only the original task and facts. Otherwise, use the Test Drive prompt with the revised profile pasted in and the same task and facts. Compare both outputs, circle one improvement, and apply all four checks again. Record where your profile lives or will live.

Microsoft 365 Copilot

  1. Open the app with your eligible work or school account. Under Agents, select New Agent, then Configure.
  2. Add the revised profile as the agent instructions. For this setup, use instructions only, with no web content, files, connectors, or other knowledge sources.
  3. Check the preview, select Create, and confirm the agent appears in your Agents list.
  4. Open a new conversation with the created agent. Run the same task and facts again. For a separate installation check later, use the prompt below.
  5. Off switch: edit or replace the agent instructions, update the agent, and check a fresh conversation.

Access: an eligible work or school account, with agent creation enabled by your administrator.

Copilot setup and administrator checks (PDF)

Store only information your business approves for repeated storage in that account. Business scope does not change the effects of memory, history, connected apps, workspace administrators, or the provider’s data practices.

Business scope: install it in a workspace for your business, not on your whole account, unless the account is only for the business. Scope tells you where the voice instructions apply. It is not a privacy wall.

Open a new conversation inside the business workspace and give it only this:

Give it the facts. Give it nothing about how you sound. If it comes back sounding like you, it's home.

Use it Monday

  1. Check your profile against more of your writing

    Your first Monday use is the About-page prompt below. Compare the candidate traits with your profile and keep only the ones you recognize. Choose a second Monday use from your own work: an email, post, or page.

  2. When it misses, fix the page, not the chat.

    When an output misses, add the missing line to the profile, not to the chat. Date it. One owner. Reread it the first Monday of each month.

  3. Page two, when you are ready.

    Voice was page one. What we offer is page two. Same rules: every line cites something you already send.
